Booking & Cancellation Terms
Last updated: January 2025
1. How to Confirm a Booking
A booking is confirmed once Green World Safaris has issued a written confirmation email and payment has been received via one of our accepted methods (Pesapal online payment, bank transfer, or cash at our Kampala office).
Upon confirmation you will receive a booking summary outlining your itinerary, included services, accommodation, and permits. Please review this carefully and notify us of any discrepancies within 48 hours.
UWA gorilla and chimpanzee permits are purchased on your behalf after booking confirmation. Permit costs are non-refundable once purchased, regardless of the cancellation window below.
2. Cancellation Policy
All cancellations must be submitted in writing via email to info@greenworldsafaris.com. The date of receipt of the cancellation email determines which tier applies. Refunds are processed within 14 business days.
| Cancellation Period | Refund | Retained |
|---|---|---|
| 60+ days before departure | 90% | 10% |
| 45–59 days before departure | 70% | 30% |
| 30–44 days before departure | 50% | 50% |
| 15–29 days before departure | 25% | 75% |
| Under 14 days | 0% | 100% |
* Wildlife permit costs (gorilla, chimpanzee) are non-refundable once purchased, irrespective of the above tiers.
3. Amendment Policy
Date changes and itinerary amendments requested more than 30 days before departure will be accommodated where operationally possible at no additional administration fee. Changes to permit dates may incur UWA rescheduling fees which will be passed on at cost.
Amendments requested within 30 days of departure are subject to availability and may incur additional costs. Green World Safaris will advise on feasibility within 48 hours of any amendment request.
4. No-Show Policy
Guests who fail to arrive on the agreed departure date without prior written notice will be treated as a cancellation under the "Under 14 days" tier. No refund will be issued. If extenuating circumstances apply, please contact us immediately — we will do our best to reschedule where logistics allow.
5. Force Majeure
Neither party shall be liable for failure to perform obligations where such failure is caused by events beyond reasonable control including, but not limited to: acts of God, government travel restrictions, park closures, civil unrest, pandemic-related restrictions, or natural disasters.
In the event of a force majeure cancellation initiated by Green World Safaris, clients will receive a full credit note valid for 24 months. Where a cash refund is requested, it will be processed minus any irrecoverable permit and accommodation costs already disbursed.
6. Travel Insurance Recommendation
We strongly recommend comprehensive travel insurance for all bookings. Your policy should include trip cancellation, medical evacuation, personal liability, and baggage cover. Uganda requires yellow fever vaccination proof on entry — ensure your insurance covers pre-existing medical conditions and adventure activities (trekking). Green World Safaris does not provide travel insurance and accepts no liability for uninsured losses.
